Privacy Policy — Mail Triage

What this service does

Mail Triage ("the Service") connects to your Gmail account to read new email, classifies each message's urgency using an AI model, drafts a suggested reply, and sends you an alert (via Slack and/or WhatsApp, if you connect them) so you can review and decide whether to send it. Nothing is sent on your behalf without your explicit approval.

Information we collect

Google account

Your name, email address, and a unique Google account identifier, obtained when you sign in.

Gmail content

For messages matching your configured search filter: sender, subject, a snippet, and up to 4,000 characters of the message body. We use this to classify urgency and draft a reply — nothing more.

Generated content

The urgency classification, our reasoning for it, a suggested next step, and the drafted reply text, all stored so your dashboard can show your history.

Slack (optional)

If you connect your own Slack workspace, we store your workspace ID/name and a bot token so we can post alerts there.

WhatsApp (optional)

If you provide a phone number, we store it to send and receive alerts over WhatsApp.

How we use your information

Gmail message content is sent to DeepSeek (a third-party AI provider) solely to classify urgency and draft a reply. We do not use it to train any model, and DeepSeek only receives what's needed to perform that classification.
If you've connected Slack and/or WhatsApp, the classification, reasoning, and drafted reply (including the original message's sender/subject/snippet) are sent there so you can review and act on them.
We store your email history, connections, and settings in our database so the dashboard can show you what's happened and let you decide on pending items.
We never sell your data, and we don't use Gmail data for advertising.

Google API Services User Data Policy: Mail Triage's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data retention

Email history you've already decided on (sent or discarded) is kept for 90 days and then automatically deleted. Advertisement and promotional mail flagged by the agent — plus matching Gmail Promotions messages — are moved to Trash and removed from your triage history after 30 days. Anything still awaiting your decision is kept indefinitely until you act on it. Account data (connections, settings, history) is kept until you delete your account, at which point everything is deleted and we attempt to revoke our access to your Google account automatically.

Security

Gmail refresh tokens and Slack bot tokens are encrypted at rest. Access to the service requires signing in with your Google account; you can revoke that access at any time from your Google Account permissions page, independently of anything you do here.

Your choices

Disconnect Slack or WhatsApp at any time from Settings.
Delete your account at any time from Settings — this deletes everything we hold about you and attempts to revoke Google's access grant.
Revoke access directly from Google at any time, independent of this service.

Changes to this policy

We may update this policy from time to time; material changes will be reflected by the "Last updated" date above.
